Data Conversion & Migration

The Electronic Content Management Field (ECM) is rapidly changing, with companies adding capabilities as competitors strive to catch up. Likewise, organizational needs evolve and shift over time. It is common for companies to realize that they have outgrown their current ECM systems. Often the answer is to replace it with something more advanced.

The systems may change, but the documents cannot be abandoned:

  1. The ECM field has experienced numerous mergers and acquisitions, creating the need for the consolidation of electronic content.

  2. Often existing products are either discontinued or fall out of support.

IP Digital’s System Conversions fix this problem.

  • Our time-tested process will create a new system incorporating your documents, indexes, and folder structures.

  • Our data migration process will make all the appropriate adjustments ensuring quick and accurate information retrieval.

  • And we do this with a complete inventory of every document, so you will know that your document record is accurate and complete.

OUR CONVERSION APPROACHES

ON-SITE:

Today, nearly 80% of conversions occur at the client location utilizing Virtual Machines and Remote Connectivity. This approach has the advantage that all data remains at the client location. It has the drawback that the client is responsible for providing adequate computing and data storage resources. On-site conversion activities may also impact the performance of the new production system.

OFF-SITE:

In IP Digital’s off-site model, we work with a copy of the data at our secure facilities. Occasionally we maintain working versions of specific older systems. In such cases, our off-site approach is the only way to satisfy data migration.

PROJECT DURATION

A system’s complexity and volume will determine the time necessary for Data Migration. As we are sure you will understand, each project is unique, and our project time estimates are case-by-case. As a guide, the ranges below cover 80% of our Data Migration Projects:

  • SIMPLE: 1-3 Months.

  • MODERATELY COMPLEX: 2-6 months

  • COMPLEX: 3-12 months

WHERE TO START:

For each project, we begin with a discovery call where we review:

  • Timeframes

  • Current set up

  • Unique issues and problems

  • Product versions, database layout, and file storage requirements

  • Target System(s)

  • Opportunities to improve the quality of the information.
