Over time, the focus of the ECM field has evolved from simple storage and retrieval to automating business processes within companies. In the storage and retrieval model, documents are assembled step by step and then scanned as a group once the process is complete. As an example, a mortgage closing requires the collection of a large number of different documents. Once completed, scanned, and stored, the records are available for future reference and easy retrieval.
In contrast, automating a process means electronically collecting, storing, and routing documents, decisions, approvals, signatures, and additional information. Here the documents are captured as they are received and then routed to different individuals as the business rules indicate. The users employ technology as an active part of their professions. In this model, documents are captured as they are received - the images are routed instead of the paper or the files.
This approach makes ECM technologies more valuable to companies and organizations and more interesting for practitioners.
